Privacy policy

This is a convenience translation. Only the German version (Datenschutzerklärung) is legally binding.

The following information gives you an overview of which personal data we process when you visit this website and use our forms, for what purposes and on what legal basis.

1. Controller

KSV Support GmbH
Fischerstraße 42
68199 Mannheim
Germany

Managing director: Sana Kadr
Phone: +49 621 87528707
Email: info@ksvsupport.de

2. Hosting

This website is hosted by STRATO AG, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. When you visit the website and use the forms, data is processed on STRATO servers in Germany. We have concluded a data processing agreement with STRATO pursuant to Art. 28 GDPR. Our email mailbox is also operated by STRATO.

The legal basis is our legitimate interest in providing our website securely and reliably (Art. 6(1)(f) GDPR).

3. Server log files

Each time the website is accessed, the web server automatically records information transmitted by your browser:

  • IP address of the requesting device
  • date and time of access
  • page or file requested
  • referrer URL (previously visited page)
  • browser and operating system used
  • amount of data transferred and HTTP status code

This data is required to deliver the website, ensure its security and analyse errors. The legal basis is Art. 6(1)(f) GDPR. The log files are stored by our hosting provider for a limited period and then deleted or anonymised. They are not combined with other data sources.

4. Encryption

For security reasons, this website uses SSL/TLS encryption. Data you submit via our forms therefore cannot be read by third parties. You can recognise an encrypted connection by “https://” in your browser’s address bar.

5. Cookies

We do not use cookies for analytics or marketing. On pages with forms (staff request, application, contact), a technically necessary session cookie (“KSVSESSID”) is set. It contains a random identifier and is used solely to protect the forms against misuse (cross-site request forgery and automated spam submissions). The cookie is deleted when you close your browser.

The legal basis for storing the cookie is section 25(2) no. 2 TDDDG; for the associated data processing it is Art. 6(1)(f) GDPR. Our legitimate interest lies in operating the forms securely and free of spam.

6. Protection against form misuse

To prevent repeated automated submissions, we store a non-reversible hash of your IP address together with the time when you submit a form. This information is deleted after one hour at the latest. The legal basis is Art. 6(1)(f) GDPR.

7. Staff request and contact form

If you send us a message via the staff request form or the contact form, we process the data you provide. This includes in particular your name, company, email address, phone number if provided, details of your staffing needs (location, headcount, role, start date and duration) and your message.

We use this data to process your request and to contact you. The legal basis is Art. 6(1)(b) GDPR where your request is aimed at concluding a contract, and otherwise our legitimate interest in answering enquiries (Art. 6(1)(f) GDPR).

Your details are transmitted to our server via an encrypted connection and forwarded from there as an email to our mailbox. The form contents are not stored permanently on the web server. We delete your data as soon as it is no longer required for the purpose, unless statutory retention obligations apply (e.g. for business correspondence under section 257 HGB and section 147 AO).

8. Applications

If you apply via our application form, we process the data you provide. This includes in particular your first and last name, phone number, email address if provided, place of residence, preferred area and location, forklift and driving licence details, earliest start date, your message and – if you upload it – your CV.

We use this data exclusively to carry out the application process and to decide whether to establish an employment relationship. The legal basis is Art. 6(1)(b) GDPR. If you voluntarily provide special categories of personal data (e.g. health information), processing is based on Art. 9(2)(b) GDPR. Please only share such data if it is necessary for your application.

CV upload: An uploaded CV is transmitted in encrypted form, checked on the server for permitted file format and size, sent as an email attachment to our mailbox and deleted from the web server immediately afterwards. It is not stored on the web server.

Retention period: If no employment relationship is established, we delete your application documents six months after the application process has ended. If an employment relationship is established, the necessary data is transferred to your personnel file.

9. Contact by email or phone

If you contact us by email or phone, we process your details to handle your enquiry. The legal basis is Art. 6(1)(b) GDPR where your enquiry relates to a contract or application, and otherwise Art. 6(1)(f) GDPR. Sections 7 and 8 apply accordingly to deletion.

10. Fonts

This website uses the “Archivo” typeface. The font files are stored locally on our server. No connection to third-party servers (e.g. Google Fonts) is established when you visit the website.

11. No analytics tools, no social media plugins

We do not use any analytics or tracking tools on this website, and we do not embed social media plugins or third-party maps.

We link to our profiles on Instagram (Meta Platforms Ireland Limited) and LinkedIn (LinkedIn Ireland Unlimited Company) and to OpenStreetMap for route planning using simple links only. Only when you click such a link are you redirected to the provider’s website, where its privacy policy applies.

12. Recipients and transfers to third countries

Within our company, your data is only made available to those who need it to process your enquiry. We use our hosting provider STRATO as a data processor. We do not transfer data to countries outside the EU or EEA.

13. Your rights

Within the limits of the law, you have the right to

  • access your stored data (Art. 15 GDPR),
  • rectification of inaccurate data (Art. 16 GDPR),
  • erasure (Art. 17 GDPR),
  • restriction of processing (Art. 18 GDPR),
  • data portability (Art. 20 GDPR),
  • withdraw consent with effect for the future (Art. 7(3) GDPR).

Right to object: Where we process data on the basis of Art. 6(1)(f) GDPR, you may object to the processing at any time on grounds relating to your particular situation (Art. 21 GDPR).

To exercise your rights, an informal message to info@ksvsupport.de is sufficient.

You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is: Der Landesbeauftragte für den Datenschutz und die Informationsfreiheit Baden-Württemberg, Lautenschlagerstraße 20, 70173 Stuttgart, Germany.

14. Obligation to provide data

Providing your data is voluntary. However, without the details marked as required we cannot process your request or application. No automated decision-making, including profiling, takes place.
